Information we collect
We collect information you provide, including email address, mobile number, captain and team names, player names, dates of birth, jersey sizes, eligibility confirmations, waiver acknowledgments, referral information, payment-confirmation details, sponsorship interest, and any team story you choose to submit.
We also receive limited technical and campaign information such as IP address, browser and device data, pages or signup steps used, referring page, and UTM campaign parameters. We do not request bank credentials or payment-card numbers. Zelle payments are handled by the participating financial institutions.
Why we use it
- To save, complete, verify, and administer team registrations.
- To communicate about incomplete signups, schedules, safety, payment verification, sponsorship, and event updates.
- To operate referrals, prevent abuse, troubleshoot errors, and secure the site.
- To understand which outreach and signup steps are useful when you allow optional analytics.
- To publish a team name or submitted story only when you separately authorize publication and an organizer approves it.
Who receives information
The tournament organizers and authorized volunteers may access registration information as needed. We use service providers to run the site and event, including Vercel for hosting, Neon for database services, Resend for email, PostHog for minimal personless operational events and optional browser analytics, and Slack for operational registration alerts. New-contact, follower, and sponsor alerts may include an email address so organizers can follow up. Completed-team alerts omit email addresses and mobile numbers.
If you choose the Google Forms fallback, Google processes the information you submit under its own terms and privacy policy. We may also disclose information when required by law, to protect participants or the event, or in connection with a reorganization of the event platform.
Sale, sharing, and advertising
We do not sell personal information or share it for cross-context behavioral advertising. We do not use your registration details to target third-party advertising. Optional browser analytics is disabled unless you allow it, and supported Global Privacy Control signals keep it off. Minimal server-side events used to confirm that registration steps are operating do not use browser cookies or include contact details.
Retention and security
We keep information only as long as reasonably needed to administer the event, provide follow-up, maintain required records, resolve disputes, and meet legal obligations. Recovery emails stop when registration is completed or you unsubscribe. We use administrative and technical safeguards appropriate to the information, but no online system can be guaranteed completely secure.
Your choices and rights
You can unsubscribe from promotional or recovery email through the link in any such message. You can change optional analytics through Cookie settings. Depending on where you live and which law applies, you may also ask to access, correct, or delete personal information, or object to certain processing. We may need to verify your request and may retain information when legally permitted or required.
Send privacy requests to polkcup626@gmail.com. We will not discriminate against you for exercising an applicable privacy right.
Young people
The site is not directed to children under 13. Tournament players must be at least 16. Players ages 16–17 must provide a parent- or guardian-signed event waiver and receive committee approval.
Changes and contact
We may update this policy as the event or law changes. We will post the revised effective date here and provide additional notice when a material change requires it. Questions may be sent to polkcup626@gmail.com.
